Vendor Guide: Activities Review & Pay

After approving a Partner's MDF activity proposal, you can monitor the activity's execution, review proof of execution, track Magic Card spending, and review claims submitted by your Partner. This page provides real-time visibility into how your approved MDF funds are being utilized.

Budget Overview

This section displays the financial breakdown of the approved activity:

  • Total Activity Budget - Combined vendor and partner contributions

  • Vendor Contribution - Your approved contribution amount

  • Partner Contribution - The partner's approved contribution amount

  • Claims Due Date - Deadline for the partner to submit claims

Approved Funds Progress Bar: A visual representation showing how your approved vendor contribution is being utilized:

  • Magic Card Spend (Green) - Funds spent using the virtual Magic Card

  • Approved Claims (Blue) - Manual claims you've already approved

  • Submitted Claims (Orange) - Claims awaiting your review

This bar helps you quickly see how much of your contribution has been allocated and what remains available.

Proof of Execution

Partners are required to submit proof that they executed the approved marketing activities. This section shows all proof requirements and their status.

Viewing Proofs

  • Each proof requirement displays as a card with a status indicator:

  • Empty circle - No proof submitted yet

  • Filled circle - Proof submitted, awaiting AI evaluation

  • Green checkmark - Proof submitted and meets AI quality standards

  • Warning icon - Proof submitted but flagged by AI for review

Reviewing Proofs

  • Click on any proof name to open the detailed review modal

  • Click the "View All" button in the top-right to review all proofs in sequence

  • Navigate between proofs using arrows in the review modal

  • View attached files, read text responses, and see AI evaluations

The AI evaluation provides an initial assessment, but you have final authority to accept or request changes to submitted proofs.

Transactions

The transactions section shows all financial activity related to this MDF activity:

Transaction Types

  • Magic Card Charges - Automated transactions from card usage

  • Manual Claims - Partner-submitted reimbursement requests

When partners submit manual claims for reimbursement:

  • The claim appears in the transactions table with "Pending" status

  • The claimed amount is shown in the Submitted Claims (Orange) section of the progress bar

  • Click on a transaction to review supporting documentation

  • Approve or reject the claim based on your review

  • Once approved, the amount moves from "Submitted" to "Approved Claims (Blue)"

Best Practices

  • Regular Monitoring - Check the page periodically to stay informed about activity progress

  • Review Proofs Promptly - Partners may be waiting on proof approval to proceed with next steps

  • Verify Claims Quickly - Timely claim reviews help maintain strong partner relationships

  • Use AI Insights - The AI evaluation can highlight potential issues, but use your judgment for final decisions

  • Track Deadlines - Keep an eye on the Claims Due Date to ensure timely completion

Q: What happens if the partner doesn't submit proof by the deadline?

A: The claims due date serves as the deadline for both proof submission and claim filing. After this date, partners cannot add new transactions.

Q: Can I see individual Magic Card transactions?

A: Yes, all Magic Card charges appear in the Transactions table. These are automatically imported and don't require manual approval.

Q: What if I disagree with the AI evaluation of a proof?

A: The AI evaluation is advisory only. You have final authority to accept or reject any proof submission regardless of the AI assessment.

Q: How do I know how much of my approved contribution is still available?

A: The progress bar shows all allocated funds. Any remaining space represents funds available for additional claims (up to your approved contribution amount).

Q: Can the partner submit claims that exceed my approved contribution?

A: No, the system prevents partners from submitting claims that would exceed your approved vendor contribution amount.
